Senior Payroll Specialist

Your responsibilities

  • Payroll Management
  • Coordinate monthly payroll activities for approximately 400 employees across eight countries in Europe and Asia-Pacific.
  • Review and audit payroll data, reports, and calculations to ensure accuracy and compliance.
  • Partner with multiple external payroll providers to process monthly payroll and resolve payroll-related issues.
  • Ensure employees are paid accurately and on time.
  • Prepare payroll-related reporting, reconciliations, and general ledger files.
  • Support annual payroll activities, year-end processing, and statutory reporting requirements.
  • Maintain payroll records and documentation in accordance with audit and legal requirements.
  • Prepare employment verification forms, social security documentation, and other statutory paperwork as required.
  • Benefits & Employee Support
  • Support the administration of pension, benefits, and wellbeing programs.
  • Facilitate enrolments, deductions, contributions, and changes with vendors and carriers.
  • Provide exceptional customer service to employees and managers regarding payroll and benefits inquiries.
  • Ensure timely responses to payroll and benefits questions and requests.
  • Experience supporting pension and benefit programs, including compliance with country-specific statutory requirements across Europe, is considered an asset.
  • Systems, Reporting & Compliance
  • Manage and support the Time & Attendance system.
  • Prepare regular and ad hoc reports for HR, Finance, management, regulatory bodies, and external partners.
  • Ensure compliance with payroll, employment, tax, and benefits legislation across supported countries.
  • Maintain and continuously improve payroll procedures and user documentation.
  • Projects & Continuous Improvement
  • Participate in global payroll and HR projects.
  • Identify opportunities for automation, process optimization, and operational efficiencies.
  • Support strategic HR initiatives and payroll transformation projects.

Our requirements

  • Experience
  • Minimum 3 years of payroll experience supporting European and/or Asia-Pacific countries.
  • Experience managing end-to-end payroll processes.
  • Hands-on experience with year-end payroll activities and statutory reporting.
  • Experience working with external payroll providers.
  • Experience with benefits, pensions, and statutory programs is an asset.
  • Skills & Knowledge
  • Strong understanding of payroll processes, employment legislation, and compliance requirements.
  • Excellent analytical and problem-solving skills.
  • High level of accuracy and attention to detail.
  • Ability to handle sensitive and confidential information with professionalism and integrity.
  • Strong customer service and stakeholder management skills.
  • Excellent communication and interpersonal skills.
  • Advanced Microsoft Excel skills, including data analysis, formulas, reporting, and reconciliation.
  • Experience with HRIS, payroll, and workforce management systems.
  • Ability to work independently while collaborating effectively across multiple teams and regions.
  • Language Requirements
  • Fluent English and Polish, both written and spoken.

The successful candidate will partner closely with external payroll providers, HR, Finance, and business leaders while driving process improvements and operational excellence.

Base salary is one component of our total rewards package which also includes incentive opportunities, benefits, and professional development. Salary ranges are established by location and reflect relevant factors such as skills, experience, and market conditions. The good-faith salary range for this position is 6,762–9,660 PLN . Actual compensation will be determined based on these factors and may vary accordingly.
