Senior Payroll Specialist (f/m/d)

We are looking for Senior Payroll Specialist (f/m/d) to ensure accurate, compliant, and timely payroll processing for Polish operations, while serving as the key local expert on Polish payroll legislation, systems, and stakeholder expectations. This role is critical to maintaining service quality, regulatory compliance, and customer satisfaction for Polish entities.

You’ll create impact by:

Payroll Operations

  • Managing end-to-end payroll processing (delivered by external vendor) for Polish employees, ensuring accuracy and timeliness.
  • Maintaining and update payroll data in alignment with Polish labor, tax, and social security regulations (e.g., ZUS, PUE, ePIT).
  • Coordinating with internal teams and external vendors to ensure service delivery and SLA adherence.

Compliance & Risk Management

  • Monitoring changes in Polish payroll legislation and ensure timely implementation.
  • Acting as the first point of contact for audits and regulatory inspections.
  • Ensuring payroll processes align with internal controls and SOC standards.

Customer Engagement

  • Serving as the liaison for HR, Finance, and employee representatives in Poland.
  • Supporting communication for payroll-related changes and issue resolution.

Continuous Improvement

  • Driving process optimization and standardization initiatives.
  • Participating in regional and global payroll transformation projects.

Your success is grounded in: 

  • Proven experience in Polish payroll processing, ideally in a shared services or multinational environment
  • Knowledge of Polish labor law, tax, and social security systems
  • Familiarity with payroll systems and government platforms (e.g., ZUS, PUE)
  • Experience with vendor management and payroll audits
  • Fluent in Polish and English
  • Strong analytical, communication skills
