Executive & Personal Assistant to the CEO.

This is an excellent opportunity for a highly organized, proactive and discreet professional who will provide comprehensive executive and personal support to the CEO in a dynamic and fast-paced environment.

Your responsibilities

  • Provide comprehensive executive and personal support to the CEO in managing day-to-day business and personal matters.
  • Manage the CEO's business and personal calendar, ensuring effective planning, prioritization and coordination of meetings and appointments.
  • Arrange and coordinate domestic and international business travels.
  • Maintain professional correspondence and ongoing cooperation with national and international organizations, associations and institutions in which the CEO is actively involved.
  • Organize and coordinate business meetings, corporate events and executive engagements, including invitations, venue bookings, logistics and on-site coordination.
  • Coordinate visits of business partners, VIP guests, international visitors and official delegations.
  • Build and maintain effective relationships with business partners, external stakeholders and internal teams.
  • Represent the CEO in day-to-day interactions while maintaining the highest standards of professionalism and supporting the CEO's professional image in business and media relations.
  • Handle confidential information and documentation with the utmost discretion and care.
  • Provide ongoing administrative and organizational support to the CEO as required.

Our requirements

  • At least 3 years of experience in a similar position, providing direct support to Board Members, CEOs, Managing Directors or business owners (including personal support).
  • Excellent command of English, both written and spoken.
  • Availability to work on-site in Warsaw, with flexibility to work outside standard business hours when required, including occasional weekends.
  • Strong organizational skills with the ability to prioritize effectively and respond quickly to changing circumstances.
  • Excellent multitasking skills and the ability to manage multiple priorities simultaneously.
  • Ability to work under pressure in a fast-paced, dynamic and international environment.
  • High level of professionalism, discretion, accountability and the ability to work independently.
  • Excellent communication and interpersonal skills.
  • University degree.
  • Proficiency in Microsoft Office (Word, Excel and PowerPoint).
