Trainees and Apprentices Sourcing Recruiter with French

About a role: 

The Trainees and Apprentices Sourcing Recruiter ensures the effective management of new interns and apprentices, from handling administrative files to welcoming them into their assigned departments. The role is responsible for managing all administrative tasks related to internship agreements and apprentice contracts (confirmation, formalization, onboarding, tracking), in full compliance with legal obligations. Additionally, the position ensures that professional interviews are completed on time by monitoring schedules for exempts and non-exempts.

Key Responsibilities:

  • Implement administrative management processes for interns and apprentices in collaboration with internal and external stakeholders

  • Handle internship requests according to process (outside campaign, paid and unpaid interns, AMM apprentices interning abroad)

  • Input and maintain data in onboarding tracking tables

  • Create intern and apprentice files on the shared SharePoint platform

  • Formalize pre-agreements (pré-convention) and draft apprenticeship contracts

  • Provide administrative instructions to interns and apprentices

  • Check completeness of files and verify supporting documents for accuracy

  • Verify visas and identity documents for international interns and apprentices

  • Collect job codes from HR Managers (RRHs) and recruitment team and update tracking dashboards

  • Review internship agreements, amendments, standby agreements, and secondment agreements

  • Implement signature process for agreements, amendments, and contracts

  • Update ADP, IT, badge, and tracking dashboards in compliance with procedures

  • Archive finalized and duly signed agreements and contracts

  • Publish apprenticeship job postings and manage candidate sourcing

  • Collect CVs, conduct screening, and forward candidates to mentors

  • Organize interviews with mentors

  • Organize onboarding and ensure smooth integration

  • Promote a positive image of the company and build trust with interns and apprentices

  • Communicate key onboarding information to ensure a smooth start

  • Respond to inquiries from tutors, HR Managers (RRHs), legal representatives, IT, and badge services

  • Provide regular updates on candidate file progress to stakeholders

  • Act as the primary point of contact between schools, HR administration, IT, managers, tutors, and candidates

  • Ensure coordination and communication across all stakeholders

  • Notify stakeholders of cancellations or rescheduling

  • Track key intern data (education level, gender, status, duration, work site, institutions) and provide reports

  • Monitor professional interviews (exempts and non-exempts), including progress rates per department.

Requirements & Competencies:

  • Bachelor’s degree in HR or similar areas (Preferred fields of study: Human Resources, Business Administration, Management Assistance)

  • Experience: Minimum 1–2 years in a similar position

  • Fluency in French (spoken and written), with excellent writing skills for formal documentation and communication

  • Strong interpersonal and communication skills, with the ability to interact with diverse stakeholders

  • High level of responsiveness and ability to represent the company’s image professionally

  • Strong attention to detail and accuracy, with the ability to manage strict timelines

  • Reliability and ability to handle sensitive data in full compliance with GDPR

  • Discretion and confidentiality in daily work

  • Efficiency, strong organizational skills, and ability to manage shifting priorities

  • Active listening and ability to respond effectively to requests

  • Result-driven mindset with focus on meeting onboarding deadlines

  • Proficiency in SharePoint, Excel, Office tools, Oracle, and HR systems

  • Knowledge of eGEDP tool is an advantage

  • Strong understanding of French regulations related to internships and apprenticeship contracts, agreements, and legal requirements

  • Ability to manage non-compliant cases autonomously with sound judgment

  • Ability to act as a trusted facilitator and point of contact for all stakeholders
