Executive Summary

The Elementary School Office Manager will provide administrative and secretarial support to the Building Principal and Assistant Principal, ensuring compliance with financial, legal, and administrative requirements and providing information, recommendations, and direction to students, faculty, staff, and the general public. The role ensures smooth and efficient operation of the school office to maximize a positive impact on the education of children.

Essential Duties and Responsibilities

  • Screens inquiries of staff, students, parents, the public, etc. for appropriate action, interpreting and applying policies and procedures, or directing to appropriate personnel.
  • Oversees and trains assigned staff, guiding and monitoring their activities and directing other office personnel.
  • Compiles data from a wide variety of sources for compliance with financial, legal, and administrative requirements.
  • Coordinates a variety of programs and activities (appointments, meetings, conferences, workshops, travel, work assignments, etc.) ensuring availability of facilities and equipment and delivering services in conformance with guidelines.
  • Maintains student records such as class rosters, weekly attendance reports, enrollment, and student files; calls homes of absent students who have not called the school.
  • Manges manual and electronic documents, confidential and non-confidential files, and records (calendars, appointment schedules, resource materials, etc.) submits required records and concise reports on time.
  • Maintains accurate attendance sheets for teachers and substitute teachers for payroll; sends payroll forms each week.
  • Registers students to the building and assists with assigning students to classrooms.
  • Assists with student health needs and administers basic first aid to students.
  • Oversees the requisition and storage of equipment, supplies, and materials to ensure availability; maintains inventories.
  • Ensures fiscal and material accountability with all equipment and supplies; balances school accounts: receives book fees, bus fees, fines, etc.; makes bank deposits.
  • Performs record-keeping and clerical functions (scheduling, copying, instructional materials, filing, compiling lists, etc.) supporting the Administrator or department.
  • Prepares written materials (reports, forms, letters, memos, budgets, etc.) documenting activities and conveying information; prepares school newsletter.
  • Researches a variety of topics (current practices, policies, education codes, etc.) to provide information for addressing administrative requirements.
  • Responds to inquiries from internal and external parties (district staff, other schools, state and federal agencies, the general public, students, etc.) in a timely manner to provide information, facilitate communication, and/or provide direction.
  • Supports assigned administrative personnel in providing assistance with administrative functions; performs other related duties as assigned for efficient functioning of the work unit.

Qualifications

Education and/or Experience

Typically requires a high school diploma at a minimum. Job‑related experience with increasing levels of responsibility is desired.

Communication Skills

Must possess the ability to communicate effectively with a variety of individuals and groups from all levels of the organization. May communicate with parents or guardians of the student(s). The individual must have effective listening skills.

Analytical and Reasoning Skills

Ability to schedule a number of activities, meetings, and events; gather, collate, and classify data. Ability to work with a variety of data. Problem‑solving is required to identify issues and create action plans. Independent interpretation of guidelines while problem‑solving with data.

Technology Skills

Must be able to use the computer, process electronic requests, and enter accounting information. Able to retrieve and print information from various computer programs as needed.

Physical Demands and Work Environment

The usual and customary methods of performing the job’s functions require some lifting, carrying, pushing, and/or pulling; and significant fine finger dexterity. Generally, the job requires 33% sitting, 33% walking, and 34% standing. The job is performed in a generally hazard‑free environment.

Other Duties as Assigned

Will perform other duties as may be assigned by the superintendent or designee, necessary and appropriate to the achievement of the program and/or District goals and objectives.
