Your responsibilities
- Lead the finance, administration, and HR administration function, overseeing accounting, controlling, treasury, tax, and payroll
- Oversee the accounting books, in particular the month-end close process and tax settlements, in cooperation with the chief accountant; maintain hands-on command of the accounting system (Comarch Optima) sufficient to independently verify and control the books
- Co-establish key financial policies together with the CFO (e.g. revenue recognition principles, valuation of long-term contracts)
- Prepare the annual budget and rolling financial forecasts
- Drive the optimization and standardization of accounting processes as the company scales, including proposing improvements to the configuration and use of the accounting system (Comarch Optima)
- Support cash flow management and long-term financial modelling aligned with the company's 2025-2030 strategy
- Prepare management reporting, KPI dashboards, and variance analysis for the CEO, Management Board, Supervisory Board, and investors
- Prepare draft materials and dashboards for the Management Board and Supervisory Board, for presentation by the CFO
- Manage the financial aspects of EU and national grant-funded projects (e.g. FENG, PARP, ESA programmes): budgeting, cost eligibility, reporting, and audits
- Monitor project controlling for space missions and hardware programmes on an ongoing basis, including cost tracking, milestone invoicing, and margin analysis
- Prepare draft responses to auditor and investor due diligence queries, subject to CFO approval; manage data room administration
- Resolve routine VAT/WHT questions on cross-border transactions independently, escalating unusual or contentious cases to the CFO
- Ensure compliance with Polish accounting standards, tax regulations, and corporate law (KSH), working with external accountants, auditors, and legal advisors
- Oversee HR administration, payroll, and compliance with the Polish Labour Code (Kodeks pracy) and GDPR in HR processes.
- Lead and mentor a small finance and administration support team
Our requirements
- 7+ years of experience in finance, including 3+ years in a leadership role (Head of Finance, Finance & Administration Manager, Financial Controller, or similar)
- Experience implementing or upgrading ERP, controlling, or HR/payroll tools
- Strong knowledge of Polish accounting standards (Ustawa o rachunkowości), CIT/VAT regulations, and financial reporting requirements — at the level of shaping policy, not only applying it
- Practical knowledge of Polish labour law, payroll, and social security regulations (ZUS, PIT, PPK), including different forms of employment (UoP, B2B, UZ/UoD)
- Hands-on experience with budgeting, controlling, and cash flow management in a project-based organization
- Experience with publicly funded R&D projects (NCBiR, PARP, FENG, Horizon Europe, or ESA contracts), including cost eligibility and grant reporting
- Ability to build financial models and present financial information clearly to non-financial stakeholders, including boards and investors
- Proficiency in Excel and hands-on working knowledge of Comarch Optima (Księga Handlowa module) or a comparable accounting ERP system, sufficient to control the books directly and identify process improvements
- Experience with HR/payroll systems
- Fluent Polish and professional English (min. B2), both spoken and written
- Hands-on attitude: comfortable operating both strategically and in day-to-day execution in a scale-up environment
Optional
- Experience in a VC-backed company, including investment rounds, due diligence, or investor reporting
- Background in deep-tech, hardware manufacturing, aerospace, or another engineering-driven industry
- Experience with IFRS reporting or audit background (ACCA, CIMA)
- Familiarity with transfer pricing, R&D tax relief (ulga B+R, IP Box), and export transactions
- Experience designing compensation and benefits structures, including ESOP or incentive plans
