Your responsibilities

Medical Insurance Administration:

• Verify and approve employee declarations for enrollment or withdrawal from the medical insurance program.

• Operate a helpline (8 hours/day) to assist employees with inquiries.

• Enter and update employee contribution data in the internal system.

• Collaborate with the HR department to resolve employee issues.

• Prepare and correct reports for medical insurance contributions.

• Develop communication materials (e.g., articles, posters) for internal use.

Social Insurance Applications (US-3 and US-4 Forms):

• Clarify and resolve errors in US-3 and US-4 applications submitted by employees.

• Liaise with employees and social insurance offices to ensure accurate submissions.

• Create and update instructions for completing US-3 and US-4 forms.

• Provide ongoing phone and email support for employees regarding social insurance forms.

Employee Pension Program Administration:

• Generate and send declaration files to the transfer agent.

• Compare and verify contribution data with the payroll department.

• Resolve discrepancies in files and update participant statuses.

• Prepare reports for regulatory bodies.

• Communicate changes in pension program regulations to employees.

• Test system updates and prepare communication materials for the pension program.

Our requirements

• Bachelor’s degree (preferably in Economics, Finance, or a related field).
• Minimum 2 years of experience in the insurance industry.
• Experience in customer service and managing large employee groups.
• Knowledge of medical insurance and pension programs (e.g., PPE, PPK, IKE).
• Fluency in Polish and English or German (minimum B2 level).
• Proficiency in Microsoft Office (Excel, Word) and enterprise systems (e.g., SAP).
• Strong analytical and problem-solving skills.
• Ability to work independently and collaborate with cross-functional teams.
• Excellent communication and interpersonal skills.

Optional

• Willingness to work on-site at production plants in the Greater Poland region, with the possibility of partial remote work.
• Availability to work Monday to Friday, 8 hours/day (flexibility for occasional overtime, up to 15 hours/month).
• Compliance with Health and Safety (BHP) regulations.
