  • Coordinate with internal stakeholders and e‑discovery vendor regarding data collections, processing, hosting, review support, and quality control measures.
  • Work with the team and e‑discovery vendor to assist with document reviews as needed.
  • Support the development and continuous improvement of document reuse systems and related repositories to enable repeatable, efficient workflows across matters.

Matter Operations, Billing, and Administrative Support

  • Maintain matter workspaces and internal repositories, ensuring documents are complete, current, and organized for team access.
  • Support new matter intake and set‑up, including opening new matters, coordinating external counsel and vendor onboarding, and preparing and maintaining files.
  • Support budgeting and billing processes, including coordinating case‑specific budget updates with outside counsel, updating monthly budgets/spend tracking, and working with the billing group to route and approve invoices for review and resolve invoice questions.

Process Improvement and AI Initiatives

  • Support development and implementation of administrative and case‑specific IP legal processes.
  • Participate in AI‑related initiatives to improve legal support workflows, including use of approved AI tools and GPT‑enabled support where appropriate.

Here’s What You’ll Need (Basic Qualifications)

  • University degree required.
  • 3–5 years of legal experience (in‑house or at a law firm), preferably supporting large, cross‑border legal matters.
  • Strong written and verbal communication skills, with the ability to work effectively with internal stakeholders, outside counsel, and vendors.
  • Strong organizational skills and attention to detail; ability to manage multiple priorities and deadlines.
  • Willingness to collaborate, take initiative, and follow through consistently in a team environment.
  • Proficiency in English (verbal and/or written) required due to global collaboration needs.

Here’s What You’ll Bring to the Table (Preferred Qualifications)

  • Prior e‑discovery experience in large, cross‑border legal matters; prior experience managing or assisting with complex document reviews is a plus.
  • Strong working knowledge of Microsoft Suites; familiarity with Microsoft Lists is a plus; SharePoint experience preferred.
  • Prior use of AI tools and/or experience developing GPTs or implementing AI‑enabled workflows in a legal setting is a plus.
