Junior Fulfillment Specialist (US Operations)

About the role

You will handle daily hardware fulfillment for US operations, working alongside the existing team to process orders, coordinate deliveries and resolve invoice discrepancies. Your work will help equipment arrive in time for installation and keep order records accurate in NetSuite.

Responsibilities

• Check released jobs for fulfillment readiness, including items, SKUs, equipment configurations and delivery details. Follow up on missing information.

• Process assigned hardware orders and purchase orders in NetSuite using established workflows and approval requirements.

• Confirm equipment availability, order acceptance and shipment dates with suppliers and fulfillment partners.

• Track open orders and deliveries. Follow up on delays and escalate issues that could affect installation schedules.

• Check installation invoices against purchase orders, job details and supporting records. Resolve discrepancies with the relevant teams and submit validated invoices for approval.

• Keep order status, shipment details and supporting documents up to date in NetSuite.

• Work with Project Management, Implementation and Accounting to resolve fulfillment issues and ensure each team has the information needed to complete its part of the process.

• Support daily order processing with the US fulfillment partner, including agreed manual checks during system transitions.

• Track workload, processing times and open issues to support service reporting and identify recurring problems.

Skills and experience

• Experience in order management, fulfillment, purchasing support or logistics coordination.

• Experience using an ERP system, preferably NetSuite.

• Accuracy when checking purchase orders, invoices and delivery records, with the ability to investigate discrepancies.

• Ability to manage several open orders, prioritize follow-ups and keep track of outstanding issues.

• Good written and spoken English for daily communication with US colleagues and suppliers.

• Working knowledge of Excel.

• Familiarity with IT hardware or electronic equipment would be helpful.

Orders are processed accurately and within agreed timelines. Delivery risks are flagged early enough for the team to act, and invoice discrepancies are followed through to resolution. NetSuite records give colleagues a reliable view of each order and shipment.
