About the project
Within the Business Services Competence Centre, we are seeking a DocuWare Workflow Specialist to support the development and evolution of document‑driven business processes across the organization. The role combines a deep understanding of process digitization with hands‑on system configuration, particularly in environments with strong financial and compliance requirements. As a trusted partner to the business, the specialist will contribute to improving efficiency, transparency, and adoption of DocuWare solutions through collaboration, advisory support, and practical enablement.
Your responsibilities
- Designing, configuring, and maintaining DocuWare workflows, with a strong focus on finance processes such as invoice processing and approval flows
- Building and optimizing document structures, including metadata, index fields, document types, and classification rules
- Translating business requirements into secure, compliant, and sustainable DocuWare configurations
- Defining and managing user roles, permissions, and access controls to ensure compliant document handling
- Continuously improving workflow performance, stability, scalability, and user experience
- Acting as a DocuWare subject‑matter expert, advising on best practices and solution design
- Collaborating with business stakeholders and enabling internal teams through documentation and structured knowledge transfer
Our requirements
- At least 5 years of proven hands‑on experience with DocuWare, including end‑to‑end workflow design and deployment using Workflow Designer
- Strong understanding of enterprise‑grade ECM/DMS solutions, audit‑compliant archiving, retention, and compliance requirements
- Solid business process knowledge, particularly in Finance or Accounting; experience with HR or Procurement is an advantage
- Senior, consultative mindset with the ability to guide stakeholders, explain solutions, and constructively challenge requirements
- Highly independent, structured, and pragmatic professional with fluent English communication skills (C1)
Optional
- Experience with DocuWare REST API and system integrations, particularly with ERP, Finance, or HR platforms in cloud‑based (SaaS) environments
- German language skills are a plus due to occasional collaboration and business travel to Germany
